Commercial workflow
The commercial workflow is deliberately separated from delivery. A job does not become delivery-ready until payment proof is confirmed.
Request to payment
- Review a submitted request and approve it for quotation when it is ready.
- Upload and send the quotation.
- Wait for the client decision.
- Upload and send the invoice after quotation acceptance.
- Review the client’s payment proof.
- Confirm payment to move the job to Payment Received, or reject the proof with a clear reason if it is not acceptable.
Actor boundaries
| Action | Normal owner |
|---|---|
| Accept or decline quotation | Client |
| Send quotation and invoice | Authorized administrative/billing user |
| Upload payment proof | Client |
| Confirm or reject payment proof | Authorized administrative/billing user |
| Cancel a request | Administrator, with a reason |
The client’s quotation decision and an administrator cancellation are not the same event. Use the appropriate action so the audit history remains accurate.
After payment
Use Send Next Instructions once the job reaches Payment Received. QIAS LIMS derives the instruction type from the job type:
- sample analysis: sample-submission instructions
- training: schedule and delivery instructions
- consultation: schedule and delivery instructions
Next instructions may be sent before assignment. The job page clearly shows when an execution owner is still pending.
Publication and closure
After review approval, QIAS LIMS requires a scan-clean final deliverable before Publish is available. Publish releases the client-facing result and sends the appropriate notification. Use Close Job after publication when the operational work is complete; closure preserves the client’s ability to download published deliverables.
See Job lifecycle for stage-by-stage detail.
