Document processing

Documents follow a governed upload process. After upload, QIAS LIMS scans the file before it is available for download or can satisfy a workflow gate.

State What it means What to do
Pending / scanning QIAS LIMS has received the file and is checking it. Wait for the scan to finish; the interface shows the pending state.
Clean The file is available to the authorized audience. Continue the workflow or download it.
Blocked The scan did not allow the file to be used. Upload a safe replacement and contact an administrator if you need help.

Do not refresh and re-upload repeatedly while a scan is still running. The document panel should restore the pending state when you return to the page.

Who can see documents

Document visibility depends on the document category, the job or project audience, and the job stage.

  • Clients can see their own request documents, commercial documents, and released deliverables when allowed.
  • Operational staff can see documents needed for their scoped work.
  • Internal-only records, such as raw laboratory data and training attendance logs, are never released to clients.
  • Final reports and equivalent deliverables remain hidden from clients until publication.

Notifications

QIAS LIMS sends in-app and configured email notifications for key workflow events, including request submission, assignments, commercial documents, payment confirmation, schedule changes, validation handoff, rework, and publication.

Notifications are prompts to open the related record; the job page remains the source of the full operational context.

If a document is missing

  1. Check that you are in the correct workspace and client account.
  2. Confirm the document finished scanning cleanly.
  3. Confirm the job reached the required release stage.
  4. Confirm your role and service-group scope allow access.
  5. Ask an administrator to review the job’s document history and audit activity if the issue persists.
